CASE STUDY · OT/IT INTEGRATION

Connecting the quarry Moving the business forward

Explore what's possible

From weighing to invoice

Digital delivery notes connect the site with the office. The wheel loader scale feeds weights straight into the note, customers sign on a tablet and the documents reach invoicing without being typed in again. All data stays inside the company's own network

Outcome
Paperless from weighing to invoiceData in the company's own network

Two delivery note books and a scale without a connection

Delivery notes for gravel and truck hours were written on paper, the gravel notes without a running number. The wheel loader scale was not connected, weights were read off and copied, customers and articles lived only in the invoicing software

The office entered every note a second time for the invoice. The task was to join scale, delivery note and invoicing into one continuous flow without replacing the existing systems

Scope of work

From the scale to invoicing

  • Digital delivery notes

Two note types for gravel and truck hours with continuous number ranges, from draft to cancellation with a complete history

  • Signature on the tablet

Drivers and customers sign on the device, the note goes out as a PDF by mail to the company or site foreman and prints on site

  • Connected wheel loader scale

New weighings are collected every few seconds and automatically create delivery note drafts with ticket, weight and time, no typing required

  • Master data from invoicing

Customers and articles come straight from the invoicing software, with a review step on matching, so nothing has to be maintained twice

  • Notes straight into the invoice

Issued delivery notes are handed over to invoicing on a schedule, while pricing and billing stay in the existing system

  • Running in the own network

The application runs on dedicated infrastructure, is reachable only through the company VPN and backs up its data every day

What the connection enables

PROJECT OUTCOME

No document is entered twice any more

  • One flow from weighing to invoice

Weight, signature and handover to invoicing work as one chain. What happens on the yard is available in the office as a document right away

  • Continuous and traceable documents

Every delivery note carries a running number and a history with creation, signature, dispatch and handover. Questions are settled in seconds

  • Existing systems stay in use

Scale and invoicing were connected, not replaced. The company keeps working with the tools it knows

  • Data under the company's control

The application runs inside the company network, with no multi tenant cloud platform. Access is possible only through the company VPN
